If the telephone number displayed on your venue profile doesn’t match your actual number, don’t worry! This is intentional and helps us track calls while keeping your personal or business number private.

1. Why is the Number on My Profile Different?

The number displayed on your profile is a ‘masked’ local number. When someone calls this number, it automatically forwards the call to the phone number you provided us and our technology records the call for reporting to you can track all the inbound enquiries from us on both email and calls.

 

Benefits of Call Masking:

✅ Protects your personal or business number from being displayed publicly.
✅ Ensures that all enquiries through Canvas are trackable.
✅ Helps monitor call performance and missed enquiries.


2. Will the Caller Know They Are Being Forwarded?

Yes. The caller will hear a pre-recorded message informing them that they are being connected to your venue.

If you don’t have a switchboard, you will also hear a message letting you know that the call is a Canvas enquiry before being connected.

3. Are Calls Recorded?

Yes, calls are recorded and the client is informed they are recorded for training and quality purposes.

Key Call Recording Details:


✅ If a call is missed, you will receive a missed call alert in your inbox.
Calls over two minutes are recorded, and a copy will be sent to your inbox.

4. What Should I Do with Call Records?

To track your bookings accurately, log all call enquiries in your internal system.

Best Practices for Call Tracking:

✅ Log the enquiry as a Canvas enquiry in your CRM or tracking system.
✅ Update calls in your Canvas dashboard once a booking is confirmed.
✅  Include key details such as:

  • Client’s email address
  • Event date
  • Booking status

5. Why Should I Log Bookings?

Keeping records up to date helps:


Track your venue’s performance and visibility on the platform.
✅ Ensure all enquiries and conversions are accounted for.
✅ Improve future lead tracking and reporting.

6. How Can I Update My Forwarding Number?

If you need to change the phone number where calls are forwarded, you can update it directly in your Canvas dashboard.

How to Update Your Destination Number:

  1. Log into your Canvas dashboard.
  2. Navigate to Venue SettingsContact Details.
  3. Update your forwarding number and save the changes.
