Logging In to Canvas: Magic Links, Passwords and Social Login Explained
A guide to the new, more flexible ways you can securely access your Canvas venue dashboard
Canvas has moved to a new authentication system, built on the same kind of secure login technology used by major companies This gives venue partners more ways to log in, all of them faster and more secure than a password alone.
You can now log in with a magic link sent straight to your email, with social login through LinkedIn, Google, Microsoft or Facebook, or with your existing password if you haven't switched over yet. Magic link and social login are both recommended going forward. This article explains how each method works, how to add new users to your account, and what to expect the first time you log in under the new system.
How It Works
Canvas does not store or has access to your password. Every password is encrypted and held in a secure vault, and only you have control over changing it. This is a deliberate security upgrade, not a workaround, and it's the same standard used by major companies handling sensitive account data.
There are three ways to get into your dashboard:
- Magic link – request a one-time secure link by email, no password needed. Quick, and recommended.
- Social login – sign in instantly using your LinkedIn, Google, Microsoft or Facebook account. Also recommended.
- Password – available if you haven't moved to the new system yet, though you'll be prompted to update it the first time you use it.
A bit more on what's happening behind the scenes:
- Where a password is used, it's run through a one-way scrambling process before it's ever stored. Canvas keeps the scrambled version only, never the password itself, so there's nothing readable to expose even if someone tried.
- A magic link is a unique, randomly generated code created fresh each time you request one. It's sent once, expires within minutes, and stops working the moment it's used, so it can't be reused or guessed.
- Social login works through a secure handshake with LinkedIn, Google, Microsoft or Facebook. Canvas never sees or stores your login details for that account, it simply receives confirmation that you are who you say you are.
- Every login creates its own session behind the scenes, which can be checked and switched off individually. That means access from a lost device or an old login can be cut off without affecting anyone else on the account.

Step-by-Step Instructions
Logging in with a magic link (recommended)
- Go to the Canvas login page and select Log in with magic link.
- Enter the email address registered to your venue account.
- Check your inbox. You'll receive an email from Canvas with a secure, one-time link.
- Click the link to be logged straight into your dashboard.
💡 Tip: magic links expire after a short window and can only be used once, so request a fresh one if it's been sitting in your inbox for a while.
Logging in with your existing password
- Select Log in with password and enter your usual email and password as before.
- You'll be prompted to set a new password, as part of moving your account onto the new authentication system.
- Once updated, you can carry on logging in with your password, or switch to a magic link or social login at any time.
Logging in with social login (recommended)
- Select Continue with LinkedIn, Continue with Google, Continue with Microsoft or Continue with Facebook.
- Log in to that account if you're not already, and confirm access when prompted.
- You'll be taken straight into your Canvas dashboard.
We'd recommend this option alongside the magic link. It's quick, secure, and ties your login to an account that's already personalised to you.
Adding a new user to your venue account
- The account admin or main contact logs in and adds the new user from the dashboard. If you're not the admin, ask them to do this for you.
- The new user will then be able to log in using any of the methods above once their email is added.
- Once added, that user has full access to the account's history, including all existing enquiries and messages.
⚠️ Important: think about who you add before you add them. New users inherit visibility of everything already in the account, not just enquiries going forward.
Important Notes
- Canvas cannot see, access or recover your password under any circumstances. Passwords are encrypted and locked in a secure vault, and only you can change yours.
- Shared inboxes work too. If your venue uses a shared inbox for enquiries, whoever has access to that inbox can request a magic link and log in with it, no individual account needed.
- Switching to a magic link or social login doesn't remove your old password option, but you will only be asked to update it once, the first time you log in after the change.
