When and How You Can Access Contact Information for Direct Communication
If you’re at the stage where you need to arrange a site visit or issue a contract, you may want direct access to the client’s contact details. This guide explains when and how you can request that information—and why we encourage you to keep communication on-platform where possible.
When Can I View Client Contact Details?
You can only access a client’s contact information if:
-
✅ You’ve responded to the enquiry
-
✅ There has been some engagement between you and the client
🚫 If you decline the enquiry or if it is marked as Lost, the contact details will not be visible.
🔍 How to Request Contact Details
-
Click on the enquiry in your dashboard.
-
On the right-hand side, click the button labelled “Request Contact Details.”
-
Once clicked, the client’s phone number and email address will appear.
📌 When you click this button, we timestamp the request. This helps us understand how and when enquiries may be moving off-platform.
Why We Encourage On-Platform Communication
Keeping the conversation on Canvas helps:
-
✅ Log all engagement in one place
-
✅ Allow our AI tools to detect trends (e.g. likely bookings or site visits)
-
✅ Improve transparency and reporting
-
✅ Increase your venue’s visibility on the platform
We know there are times you’ll need to connect directly—and that’s totally fine—but staying on-platform where possible is a win-win. It helps you build trust with clients while helping us show you the value we’re driving.
What Happens After Requesting Contact Details?
Once contact details are unlocked:
-
You can email or call the client directly
-
The system logs this interaction
-
If the enquiry is later marked as Needs Finalising, we’ll prompt you to update the status (e.g. Booking Confirmed or Lost) after 30 days
