Understanding How Your Enquiries Are Tracked and Updated Automatically
To help you manage your pipeline more efficiently, enquiries on Canvas move through a set of clearly defined statuses. Some of these are updated automatically based on your activity, making it easier to track and prioritise conversations without needing to manually update everything yourself.
Here’s a full breakdown of each status and how it works:
🟢 New
All new enquiries will start in this status.

If you don’t respond within 5 working days, the system will automatically move the enquiry to “Lost” with the reason marked as “No response”.

You’ll be able to view these in your dashboard, helping you track which enquiries were missed and why.
🔵In Progress
Once you respond to an enquiry—whether through email or in-app messaging—it will automatically move to In Progress.

It may take a few minutes to update.

This helps you see at a glance which conversations are ongoing.

You can also filter enquiries by last message sent to stay on top of active leads.
🟠 Needs Finalising
If an enquiry in progress shows no activity for 17 days, it will automatically move to Needs Finalising.

It will stay in this status for up to 30 days unless you re-engage.

After 30 days, you’ll receive an email reminder prompting you to update the status.
✅ To move it out of “Needs Finalising,” you must:

Respond in-app or by email

Or manually mark it as either Booked or Lost
Note: Simply clicking "In Progress" again without engaging won’t update the status—it requires some form of communication.
🔴 Lost
You can manually mark an enquiry as lost at any time—for example, if the event is no longer going ahead or the client has chosen another venue.

If the enquiry was never responded to, it will be marked as lost automatically after 5 working days.

You can reopen a “Lost” enquiry at any point by moving it back to In Progress and sending a new message
You can only reopen "Lost" enquiries not Declined.
🟢 Booking Confirmed
When you secure a booking, mark the enquiry as Booked.

This boosts your visibility on the platform—your venue will be tagged as “Most Popular” for 90 days.

You’ll also receive an email confirmation once the booking is logged.

🎉 Happened
Once the event date has passed, the enquiry will automatically move to Happened.

This status helps you track completed events and review overall performance.
